Szanowni Państwo

The official letter, phrase by phrase — the formulas you copy whole, and the ones in the letter that comes back from the urząd.

  1. pod rygorem

    phrase · + gen.

    EN
    on pain of, failing which
    RU
    под угрозой, в противном случае

Należy uzupełnić wniosek w ciągu 7 dni pod rygorem pozostawienia go bez rozpoznania.

The application must be completed within 7 days, failing which it will not be considered.

The sentence that makes the envelope from the urząd frightening. Rygor is strictness; pod rygorem introduces the consequence if you miss the deadline — read what comes after it first.

  2. Szanowni Państwo

    phrase

    EN
Dear Sir or Madam, Dear all
    RU
    Уважаемые дамы и господа

Szanowni Państwo, piszę w sprawie faktury.

Dear Sir or Madam, I am writing about the invoice.

The opening when you do not know who reads it; capital P is compulsory in letters. One person: Szanowna Pani, Szanowny Panie — never the surname, and never Drogi, which is for friends.

  3. zwracam się z prośbą

    phrase · verb, + o + acc.

    EN
    I am writing to request
    RU
    обращаюсь с просьбой

Zwracam się z prośbą o przedłużenie terminu.

I am writing to request an extension of the deadline.

The first sentence of every podanie and wniosek, word for word the Russian formula. What follows o is a noun, never a verb: o wydanie, o przedłużenie, o zwrot.

  4. uprzejmie proszę

    phrase · verb, + o + acc.

    EN
    I kindly request, please
    RU
    убедительно прошу

    Uprzejmie proszę o kontakt telefoniczny.

    Please contact me by telephone.

Uprzejmie is 'politely'; this carries the letter's actual request, a notch softer than zwracam się z prośbą. In the urząd's reply the same word is an order: uprzejmie informuję, że termin minął.

  5. w związku z

    phrase · preposition, + instr.

    EN
in connection with, regarding, owing to
    RU
    в связи с

W związku z przeprowadzką proszę o zmianę adresu.

Owing to my move, please change my address.

Identical to RU в связи с, instrumental and all — the one formula you already own. It opens the letter's reason; w związku z powyższym, 'in view of the above', opens its conclusion.

  6. w nawiązaniu do

    phrase · preposition, + gen.

    EN
    with reference to, further to
    RU
    ссылаясь на; в продолжение

W nawiązaniu do rozmowy przesyłam ofertę.

Further to our conversation, I am sending the offer.

Points back to an earlier letter, call or meeting and takes the genitive: do naszej rozmowy, do pisma z dnia. RU в продолжение is close. The verb nawiązać also starts a conversation or a relationship.

  7. niniejszym

    adverb · formal

    EN
    hereby
    RU
    настоящим

    Niniejszym wypowiadam umowę najmu.

I hereby terminate the tenancy agreement.

Instrumental of niniejszy, 'the present document'. Pure paper Polish, the word that turns a sentence into a legal act: niniejszym oświadczam, niniejszym upoważniam. RU настоящим, same job.

  8. w załączeniu

    phrase · adverb

    EN
    enclosed, attached (please find)
    RU
    в приложении, прилагаю

    W załączeniu przesyłam skan umowy.

Please find the contract scan attached.

The formula for anything clipped or attached; the file itself is załącznik, and w załączniku is as common in e-mail. RU в приложении also means 'in the app'; here an app is aplikacja.

  9. ustosunkować się

verb · reflexive, perfective, + do + gen.

    EN
to respond to, to state your position on
    RU
    высказать свою позицию, ответить на

Proszę o ustosunkowanie się do zarzutów w terminie 14 dni.

Please respond to the allegations within 14 days.

Officialese for 'answer this': literally to set your relation, stosunek, to something. If a letter asks you to ustosunkować się, it expects a reply, not silence.

  10. z poważaniem

    phrase

    EN
    yours faithfully, yours sincerely
    RU
    с уважением

Na końcu napisz: z poważaniem i podpis.

At the end write 'yours sincerely' and sign.

The sign-off of every formal letter, no comma after it, unlike English. Z wyrazami szacunku is a notch more solemn; pozdrawiam is for e-mail between people who have met. RU с уважением covers all three.
